DE Registration: Course Not Found on System. Help!

During the JAMB direct entry registration, cases like "we can't find your course on the system" are not uncommon. A few students have reported such cases.

One student recently shared his experience with this issue.

Please, I went to the JAMB office today to register for my DE, and they told me that they can't find my course in their system and that I did not qualify. I have an ND in Hospitality Management from Federal Polytechnic Bida. Please, what can I do now?

You Might Not Have Been Admitted Through JAMB

A few posts on this blog have discussed related issues. I covered situations where the JAMB registration number was not found in my post "Why Was JAMB Number Not Found on DE Registration". What caused that might be the same issue you're having with not seeing your offered course on the system now.

If you've not been admitted through JAMB in the year you were admitted, your fate could be "no course found". Think about it. Hope your admission wasn't part-time (e.g., DPT) or similar programs? If I'm right, you should know by now where the issue is coming from. 

And if your program is full-time, were you offered admission on the JAMB portal with a JAMB admission letter printed? If you've not been offered admission through JAMB and/or without a JAMB admission letter, something might be missing back in the year of admission.

In any of the cases above, you will need the JAMB regularization to correct the issue so you can be issued a new JAMB registration or regularize the one you already have.

Maybe the Course Was Not Accredited at the Year of Admission

Another reason you might not have seen your course on the JAMB system during the direct entry registration is if the course you attended or were admitted to was yet accredited by the National Universities Commission (NUC) or National Board for Technical Education (NBTE) as of the year of admission. 

This means the course had not yet been added to the JAMB portal at the time you claimed to be offered admission by your school. Where this happens, regularization, as earlier mentioned, will come in and solve the issue.

Answering the student in the discussion above, the board pointed out:

Perhaps the program wasn't accredited as at when the school offered you the admission. Aside from that, do you have a JAMB admission letter for the program?

How to Apply for JAMB Regularization

JAMB regularization, also known as "late application," is a process used by the Joint Admissions and Matriculations Board (JAMB) in Nigeria to reconcile the academic records of students who have discrepancies in their admissions details or who gained admission into tertiary institutions without going through JAMB.

This process ensures that the JAMB database is updated with the student's correct information, making them eligible for Direct Entry (DE) admission, HND, or National Youth Service Corps (NYSC) scheme, or further studies. Here’s a general guideline on how to go about the JAMB regularization registration:

  1. Create a Profile: If you haven't already, you will need to create a JAMB profile. This involves providing personal information such as your name, date of birth, email address, and mobile phone number. To do that, you'll simply send your NIN to 55019/66019, which in turn will debit N50 to give you a 10-digit number called the profile code. This code has fetched your data from NIN, which will in turn be used for the regularization application.
  2. Visit the Nearest JAMB Office: Start by going to any JAMB office, not necessarily your state of origin or resident branch. This is the first step to access the JAMB portal for the regularization process.
  3. Login and Select ‘Late (Retroactive) Application’: Though to be done by the JAMB official, once logged in, navigate to the services section and select "Late (Retroactive) Application" or any similar option that refers to JAMB regularization. This option is designed for the regularization process.
  4. Fill Out the Application Form: The official will complete the application form by providing all the required information. This includes your personal details, educational background, the reason for regularization, and details of your admission. Be accurate and thorough when filling out the form.
  5. Upload Necessary Documents: You may be required to upload documents such as your O'level results that support your application. Ensure that these documents are clear and valid.
  6. Pay the Regularization Fee: There is a fee for JAMB regularization. Follow the prompts to make your payment online via the JAMB portal. Keep a record of your payment receipt as proof of payment.
  7. Submit the Application: After filling out the form and making your payment, review your application to ensure all information is correct. Then, submit your application.
  8. Print Out Your Indemnity Form: After submission, you should be able to print an indemnity form. This form needs to be taken to your institution for completion and approval. Your institution will then forward it to the JAMB state office for further processing.
  9. Wait for Approval: Once your indemnity form is submitted by your institution to JAMB, wait for confirmation of your regularization. This process can take some time, so patience is required. You will receive an approval message or a regularization number, which confirms that your academic record has been updated in the JAMB database.
  10. Check Your JAMB Profile: Regularly check your JAMB profile to see if the regularization has been processed. Once completed, your JAMB profile will be updated with your new admission details.

You Can Also Avoid Regularization Entirely

If you won't mind waiting until next year, you can avoid the hurdles of JAMB regularization and its headache by just avoiding it. To do that, you'll use the method called the UTME to DE upgrading or conversion comes next year.

During the UTME, you'll obtain that form, write UTME, and after the result is out, upgrade it to DE. At this point, you'll not need regularization again; rather, JAMB will use your UTME registration to replace the number you're to get say you do the regularization.

Below are the steps involved in converting UTME to DE.

  1. Meet the Eligibility Criteria: Ensure that you meet the eligibility criteria for Direct Entry admission. This typically includes having a higher qualification such as BSc, HND, ND, NCE, RN/RM, relevant diploma, or A-level qualifications from recognized institutions.
  2. Visit Nearest JAMB Office: To convert UTME, only JAMB office will handle that registration. Visit any branch and ask for the UTME to DE upgrading service.
  3. Submit Relevant Items and Documents: They will need to scan and upload the necessary documents, including your O'level results, higher qualification certificate/results (if applicable). You will also need NIN, profile code, etc.
  4. Apply to Universities: During the conversion, you'll need to make new choices of universities for the purpose of DE application.

Conclusion

When facing issues with JAMB direct entry registration, such as your course not being found in the system, it's crucial to first understand the root cause. This may be due to not being admitted through JAMB initially, or your course was not accredited at the time of your admission. 

To resolve this, JAMB regularization is necessary to update your academic records in the JAMB database, making you eligible for DE admission. Alternatively, you can avoid regularization by waiting to convert your UTME to DE in the following year.
